Client Portal Instructions (Updated 2.24.2022)

Learn the Dashboard

Adding a New Client

Add New Client Account

Click on the “Add New Client” button in the Sales Dashboard.

  1. Enter in a unique Username, also called “Family Name”. This is the Username that your client will use to log into their account. The current structure is “Client-Last-Name Family” (i.e. Addams Family or Lasso Family). Choose carefully and be sure to spell correctly because THIS CANNOT BE CHANGED.
  2. Set the “Client Role” to “Author”. Do not choose any other option.
  3. Enter an email for your client. They will be able to log into their account using the Username (or “Family Name”) OR this email. You will be able to add additional emails to their account in later steps.
  4. Enter a password for your client in the “Select Password” field. It must have a number, seven letters (one capitalized), and a symbol. Copy and paste that password into the “Password” and “Confirm Password” fields. Your client will be able to change their password at a later time if they wish.
  5. Confirm the password and click the “Update” button. You will be taken to a screen to create your clients Profile.

Add New Client Profile

Click on the “Create Client Profile” button in the Sales Dashboard.

NOTE: You do not have to complete this form fully. You can enter in as much or as little information you have now update it later. Click the “Submit” button once you’ve entered in all the information you have.

  1. Select the client you are creating the profile for. YOU MUST BE SURE TO DO THIS. If you do not see their name, see the Troubleshooting section.
  2. Enter in their job number. *Right now this is populating with an email. Delete it and type in the job number.
  3. Enter in their build address.
  4. Enter information for Client One. If the email for this client matches the email used to create the Client Account, don’t enter one.

    5. Enter information for Client Two. If the email for this client matches the email used to create the Client Account, don't enter one. Add an additional email if needed.

    6. Enter the Realtor information (if applicable). Select the email preference and enter their email in the corresponding space (be sure to choose their preference BEFORE entering an email). Select whether an additional email needs to be added and select email preference BEFORE entering an email.

    7. Enter in the Project Information (sales counselor, builder, document folder link, etc.). Click the "Submit" button to finish creating the Client Profile. Once you click "Submit" you'll be taken back to the Sales Dashboard.

Update a Client Profile

On the Sales Dashboard page, click on “Client Profiles” in the left hand menu. This will take you to the Client Profiles Archive.

In the Client Profiles Archive, you'll see a list of all the Client Profiles.

Hover your mouse over the Client Profile you wish to update and click "Edit". Do not click "Quick Edit" or "Trash". You will be taken to the Client Profile Update screen.

This is where you’ll update the client & build information throughout the rest of the project. You’ll use the tabs to navigate to the information you wish to update. Once you’ve made your updates, be sure to click the blue “Update” button in the top right corner to save and publish your updates. BE SURE your updates are correct because emails will be sent to your client each time you publish an update! See the “Client Notifications” section to see what notifications your client is receiving.

NOTE: NEVER update the “Select Client” or “Author” field. This will cause a major break in the profile. They should always match. STOP IMMEDIATELY, do not click anything else and see the Troubleshooting section if you accidentally change this field OR if you see that these two fields do not match.

Weekly Updates

Updating the Pre-Start Stage or Construction Stage

  1. In the Home Stage Group field, select either “Pre-Start” or “Construction”.
  2. In the “Pre-Start Stage Name” or “Construction Stage Name” field, select the name of the construction stage that applies to the home.
  3. In the “Pre-Start Stage Number” or “Construction Stage Number” field, select the number of the stage that matches the stage name you selected.
  4. In the “Pre-Start Progress Bar Percentage” or “Construction Bar Percentage” field, enter in the number that corresponds to the stage name you selected. This will be a different number than the stage number. See the Learn the Build Dashboard section to see how these three fields are displayed to the clients and why they’re important.
  5. When a home switches from Pre-Start stages to Construction stages, be sure to select the “Construction” option in the Home Stage Group field.

Adding a Weekly Update

  1. Below the Home Stage fields, you’ll see an “Add New Weekly Update” button. This button will add a set of fields for inputing Weekly Update information. These fields can be closed or expanded by clicking on the small caret to the left of each “Weekly Update Date” field.
  2. Enter in the date of your weekly update in the “Weekly Update Date” field.
  3. Enter in the message you want to send out to the client in the “Weekly Update Message” field.
  4. If you have images to share with your client, uploaded them to the “Weekly Update Images” field.
  5. Once you are satisfied that the weekly update is correct and ready to be shared with your client, click the “Update” button on the top right corner.
  6. To add the next weekly update, click the “Add New Weekly Update” button.
  7. You can rearrange the order of the weekly updates by clicking the row number (in the grey column) and dragging. 

Design

Updating Important Dates

Meetings and dates for HOA applications can be input in the "Meetings & Important Dates" tab. Be sure to click the blue "Update" button to save your updates. The client will receive an email notifying them of the date. See the "Client Notifications" section to see what notifications your client is receiving.

Adding Builder Notes

    1. On the Construction Dashboard page, click on "Client Profiles" in the left hand menu. This will take you to the Client Profiles Archive.

    2. In the Client Profiles Archive, you'll see a list of all the Client Profiles.

    3. Hover your mouse over the Client Profile you wish to update and click "Edit". Do not click "Quick Edit" or "Trash". You will be taken to the Client Profile Update screen.

This is where you’ll update the build information throughout the project. You’ll use the tabs to navigate to the information you wish to update. Once you’ve made your updates, be sure to click the blue “Update” button on the right hand side to save and publish your updates.     4. Select the "Builder Notes" navigation tab. You can add up to 5 builder notes for each client. To add a builder note, select "Yes" under the "Activate Builder Note 1" option. This will open up a text field.

    5. Type your note into the text field. Click the blue "Update" button on the right hand side to save and publish your builder note


BE SURE your builder note is correct because once you click the "Update" button the note will available to be viewed by the client AND a notification email will be sent to them. See the "Client Notifications" section to see what notifications your client is receiving.

    6. To add another Builder note, select "Yes" to activate it.

Removing Builder Notes

To removed a builder note, DO NOT DELETE IT. Just select "No" under the "Activate Builder Note" field. This will deactivate the builder note and the client will no longer be able to see it.

If you need more than 5 builder note spaces, contact the website administrator.

Clients

User Name & Password

You will create both the client Username (also known as “Family Name”) and Password when you create a new Client Account.

The client can use either their Username or Account Email to login to their Build Dashboard.

Your client will receive an email sent to their Account Email that contains their login credentials: Username & Password.

You can view what a clients Username is by clicking on “Client Account” in the lefthand menu. The Username for each client is listed in the Username column. The account email is listed in the Email column. The Username CANNOT BE CHANGED. The Account Email can be updated by the client OR by D&S.

To view and/or update a Client Account, hover your mouse over the client you wish to view and click “Edit”. DO NOT CLICK DELETE OR VIEW!! This will cause a major break in the Client Portal.

3 Ways to Update a Password & Account Email

D&S Initiated

You’ll never be able to see a Client’s password. You will be able to set them a new password (that you choose) by clicking the “Set New Password” button or you can send them a link so that they may update their own password. Both of these options should only be used if the client has forgotten their password or cannot log in for some reason. 

This is also where you can update a Client’s Account Email. Ignore the “Nickname”, “Website”, and “Hide Admin Area” fields.

Be sure to click the blue “Update User” button to save any updates you made.

NOTE: THE “SEND RESET LINK” OPTION WILL NOT WORK IF YOUR CLIENT IS USING THE SAFARI BROWSER ON DESKTOP. ASK THEM DO USE ANOTHER BROWSER OR RESET THE PASSWORD YOURSELF. THIS OPTION WILL WORK FOR THE MOBILE SAFARI BROWSER.

Client Initiated

A client can also initiate a password reset by clicking the “Lost your password?” prompt. They will need to know and have access to their Account Email to reset their password.

NOTE: THIS WAY DOES NOT WORK USING THE SAFARI BROWSER ON DESKTOP!! IF YOUR CLIENT GETS A “PASSWORDS DO NOT MATCH” ERROR, ASK THEM TO USE ANOTHER BROWSER OR RESET THEIR PASSWORD YOURSELF. HIS OPTION WILL WORK FOR THE MOBILE SAFARI BROWSER.

This is the page the client will see when they click “Edit/Update Account”. They’ll be able to change their password and see/update their Account Email.

Client Dashboard

Clients will log in through the same link that Dunn & Stone admin log in. This is the first page a client will see. They can choose to view the Build Dashboard or View/Update Account.

Client Notifications

Client Account Notifications

Trigger: When the “Add New Client Account” form is filled out and submitted.

Troubleshooting

Help! I clicked the wrong button and I've deleted something!

Problem: 

You accidentally deleted a Client Account or Client Profile.

Solution:

Don’t panic but also don’t do anything else, don’t click any more buttons, and contact the Website Administrator.

 

This doesn't look right...

Why is this locked?

Problem: 

If you see a lock symbol in the row of the client you’re needing to update it means someone else has their Client Profile open.

Solution:

Contact the person who has the profile open and ask them to update and exit.

OR

If you know that no one is in the profile and lock symbol is still present, you can choose to edit the account and “Take Over”.

 

This doesn't look right...

The Sales/Construction/Design/Office Dashboard looks wrong.

Problem: 

Your dashboard looks wrong.

Solution:

Log out by hovering over “Hi there, [Username]” and selecting “Log Out” and try logging in again. If this continues to happen, log out of the site, clear your browser history, and log in again.

 

The "Add New Client Account" page looks wrong.

Problem: 

You clicked “Add New” at the top of the “Client Account” archive page instead of clicking the “Add New Client Account” button on the Sales/Design Dashboard.

Solution:

Click “Dashboard” in the lefthand menu and click the “Add New Client Account” button on the dashboard.

The "Add New Client Profile" page looks wrong.

Problem: 

You clicked “Add New” at the top of the “Client Profiles” archive page instead of clicking the “Add New Client Profile” button on the Sales/Design Dashboard. 

Solution:

Click “Dashboard” in the lefthand menu and click the “Add New Client Profile” button on the dashboard.

I added a new Client Account but I can't find them in the dropdown to make a Client Profile.

Problem: 

You added a new Client Account but when you go to create their Client Profile they are missing from the “Select Client” dropdown.

Possible Cause & Solution:

You didn’t select “Author” in the “Client Role” dropdown when you created the Client Account. Here are the steps to determine if this is the reason:

  1. In the Sales/Design Dashboard, click “Client Account.
  2. At the top of the list of clients, there is a pre-set filter that ONLY shows clients with the role of “Author”. Click “Clear Filters” to temporarily remove it.
    1. 3. Now you will see a full list of all Users on the Dunn & Stone Builders website. Scroll down until you find your client and look at what their roll is. If it is anything other than “Author”, contact the Website Administrator to change the role to “Author”. 

 

    IF the role of your client is set to “Author” and they are not showing up in the dropdown list, contact the Website Administrator.


Known Issues

The reset password link on the login page DOES NOT work if the client is using the desktop version of the Safari browser. If they are trying to reset their password by using the “Lost Password” link on the login page OR if you are sending them a reset password link through the “Send Password Link” in their user account they will need to complete this process by using a different browser. However the mobile version of the Safari browser DOES work.
